Option 2: Rule-based chatbot for predictable questions ($1,497 one-time, $0 ongoing)

The middle option. You add a chat widget to your website that handles the common questions customers ask after hours: hours of operation, services and pricing, service area, how to book an appointment, whether you accept specific insurance or payment methods, FAQs about your business.

What it misses: Genuinely open-ended questions ("can you handle a custom job that involves X and Y?"). Those get escalated to you.

The most powerful option, with ongoing costs to match. You add an AI-powered chat assistant (powered by Claude or OpenAI) that can handle genuinely open-ended customer questions: "I'm thinking about doing X for my business, would you be able to help?" or "We have an unusual situation with our property, can you take a look?" The assistant interprets the question, responds in your tone using information from your business, and captures qualified leads for follow-up.

What this catches: Close to 95% of after-hours inquiries. The AI handles both predictable questions and creative ones.

What it misses: Very small percentage of genuinely unusual or technical questions that need human judgment.

Cost: $1,497 to build at the Quick Win tier, plus $20-100 per month in API costs depending on your volume. A small business with 50-100 after-hours conversations per month typically falls in the $20-30/month range.

This option only makes sense if your customer questions actually need open-ended responses. For 80% of small businesses (especially trades, healthcare, fitness, salons), Option 2 (rule-based) handles everything just as well at zero ongoing cost.

How to decide which option fits

Ask yourself these three questions about your business:

  1. How predictable are the questions you get after hours? If 80%+ are about hours, pricing, services, and booking, Option 2 (rule-based) is enough. If customers regularly ask creative or specific things, Option 3 (AI) is worth the ongoing cost.
  2. What's the cost of a missed customer? If your average customer value is $500+, Option 2 or 3 pays for itself with one or two extra customers per month. If your average customer value is under $100, Option 1 (free contact form) might be enough.
  3. How important is "feels like a real conversation" for your brand? Some businesses (luxury services, premium B2B) benefit from the AI feeling like a real receptionist. Others (trades, basic services) are fine with a clear, well-organized rule-based chat. Match the tool to the brand.

The cost of doing nothing

If you take one thing away from this article, let it be this: doing nothing is also a choice, and it has a cost.
