Bot The Builders ("we", "us", "our") operates botthebuilders.com (the "Site") and provides custom AI development services. This Privacy Policy explains what information we collect, how we use it, and your rights.
1. Information we collect
We collect minimal information, only what's needed to communicate with you and deliver our services.
Information you provide directly:
- Your name, email, business name, and any details you share when you book a discovery call, email us at hello@botthebuilders.com, or fill out forms on our site.
- During engagements, project-related information (business workflows, documents, sample data) needed to build your custom AI tool.
Information collected automatically:
- Basic analytics: pages visited, time on site, referring URL, browser type, approximate location (country/region only). We use this only to understand which tools and content are useful.
- Our static site does not use third-party advertising cookies or trackers.
Tool usage data: All Bot The Builders sample tools (Proposal Builder, IFTA Calculator, Recipe Cost Calculator, etc.) run entirely in your browser. We do not collect or store any of the data you enter into our free tools. Calculations, generated documents, and PDFs are processed locally on your device.
2. How we use information
- To respond to your inquiries and provide the services you've requested.
- To deliver agreed-upon custom AI development work to clients.
- To improve our website, tools, and service offerings based on aggregated usage.
- To send transactional emails related to active engagements (project updates, invoices).
We will never sell your information, share it with advertisers, or use it for purposes you haven't agreed to.
3. Sharing of information
We don't share your information with third parties except:
- Service providers we use to run the business: Cloudflare (DNS, email routing), Netlify (website hosting), Google (Gmail for email correspondence), Cal.com (booking). These providers process information only as needed to provide their services and are bound by their own privacy policies.
- When required by law: If we're legally required to disclose information (subpoena, court order), we'll comply while protecting your rights to the extent possible.
- To protect rights: To prevent fraud, security threats, or to enforce our agreements.
4. Client engagement data
If you engage us for custom AI development work, we may handle business data you provide as part of the project (sample documents, client examples, internal workflows). This data is:
- Used only for the purpose of building your tool.
- Not shared with other clients or third parties.
- Deleted from our systems within 30 days of project completion, unless you request earlier deletion.
If your custom tool uses an AI API (such as Anthropic Claude or OpenAI), we'll inform you which provider and what data passes through. Those providers have their own data handling policies, which we'll point you to during scoping.
5. Cookies and tracking
Our website uses minimal cookies — only what's necessary for the site to function. We do not use third-party advertising cookies, retargeting pixels, or behavioral tracking.
Some of our service providers (Cloudflare, Netlify) may set technical cookies for security and performance. You can disable cookies in your browser settings without affecting our site's functionality.
6. Your rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your information.
- Opt out of any communications.
- Lodge a complaint with a data protection authority.

7. Data retention
We retain personal information only as long as needed for the purposes outlined above, or as required by law. Prospect emails not converted to clients are deleted after 12 months of inactivity. Client engagement data is deleted within 30 days of project completion.
8. Security
We take reasonable measures to protect your information using industry-standard tools (HTTPS encryption, secure email, access controls). No transmission over the internet is 100% secure, but we use commercially reasonable practices.
9. Children
Our services are not directed at individuals under 18. We don't knowingly collect information from children.
10. Changes to this policy
We may update this policy occasionally. When we do, we'll update the "Last updated" date at the top. Material changes will be communicated by email to active clients.
